1. Getting Started
Initial Consultation
Our journey begins with a conversation. We’ll discuss your needs, goals, and vision to make sure we’re the right fit.
Project Proposal
Once aligned, we’ll send a proposal outlining your deliverables, timeline, and investment. When you’re ready, we’ll move forward with onboarding.
Booking & Deposit
A non-refundable deposit of 50% is required to book your spot in our schedule. For larger projects, a custom payment plan may be offered.
2. Communication & Boundaries
Studio Hours
Monday–Friday, 9am–4pm (SAST). Emails and messages sent outside these hours will be responded to during studio time.
Preferred Channels
All official communication will take place via email. We may use shared folders or ClickUp (or similar) for collaboration. WhatsApp or DMs are not used for project updates.
Turnaround Time
We aim to respond to all emails within 1–2 business days, and provide design updates within agreed-upon timeframes.
3. Content & Collaboration
Client Responsibilities
You agree to provide all required content (copy, imagery, logins, etc.) before we begin. This keeps timelines on track and designs aligned.
Timely Feedback
We rely on prompt and consolidated feedback at each stage of the project. If we don’t hear from you within 7 business days, the project may be paused or rescheduled.
Revision Policy
Each design phase includes 2 rounds of revisions. Additional rounds or major changes to approved concepts will be billed separately.
4. Payment Terms
Deposit & Final Payment
50% upfront, 50% due before final delivery. Work will only be released once final payment is received.
Late Payments
Invoices not paid within 5 business days of due date may incur a 10% late fee. Work may pause until payments are up to date.
Add-Ons
If the scope changes or you request additional design work, we’ll send a new quote or invoice for approval.
5. File Delivery & Ownership
Final Files
Upon final payment, you’ll receive high-resolution files suitable for print and web. Working files (e.g. AI, PSD) are not included unless agreed upon.
Ownership
Once paid in full, the final designs are yours to use freely. CoShift retains the right to showcase the work in our portfolio unless otherwise requested in writing.
File Storage
We keep your files archived for up to 6 months. After that, we may remove them from our servers.
6. Cancellations & Refunds
If You Cancel
If you cancel before the project begins, your deposit is non-refundable. If work has already started, you’ll be invoiced for any completed stages.
If We Cancel
If we are forced to cancel due to unforeseen circumstances, we will provide a refund for any incomplete work and return any assets.
7. Legal & Liability
Accuracy
You are responsible for reviewing and approving all content. We’re not liable for errors in client-provided copy or information.
Third-Party Materials
Any stock imagery, fonts, or digital assets purchased for your project will be charged separately and licensed appropriately.
Force Majeure
We are not liable for delays caused by events beyond our control (e.g., illness, internet outages, acts of nature).
8. Respect & Collaboration
We believe in respectful, honest communication and clear boundaries. We reserve the right to end a project if communication becomes disrespectful or unmanageable.
